Role Overview

The Administrative Coordinator will play a key role in managing day-to-day administrative tasks, supporting client interactions, and assisting with our growing online presence. You’ll ensure the smooth execution of operational logistics, and contribute to delivering exceptional service to our clients and online audience.

Key Responsibilities:

  • Client Relations:

    • Serve as the primary point of contact for client inquiries, providing professional and timely responses across email, whatsapp, phone, and social media platforms.

    • Prepare and manage proposals, quotes, and follow-ups for prospective clients.

  • Project Coordination:

    • Oversee procurement and logistics for natural pool builds, ensuring timely delivery of materials.

    • Collaborate with contractors and suppliers to maintain smooth workflows for construction projects.

  • Documentation & Compliance:

    • Prepare and maintain essential documents such as contracts, liability agreements, and intake forms.

    • Ensure all records are organized and up-to-date for smooth administrative workflows.

  • Financial Administration:

    • Support invoicing and financial tracking, ensuring accuracy and timely payments.

    • Collaborate with the finance team to streamline processes and maintain compliance.

  • Online Educational Support:

    • Provide logistical and technical support for webinars and online events, including scheduling, attendee coordination, and follow-up communications.

    • Assist in managing and responding to comments, feedback, and inquiries across social media, YouTube, and other online platforms.

    • Support the development and promotion of online courses by coordinating content distribution and audience engagement.

What We’re Looking For

  • Experience: Previous experience in administration, project coordination, or customer service. Experience in online education, construction, or eco-technology is a plus.

  • Skills:

    • Proficiency in office software (Google Workspace, docs, spreadsheets etc) and social media scheduling tools.

    • Familiarity with AI tools (e.g., ChatGPT)

    • Strong written and verbal communication skills.

    • Excellent organizational and multitasking abilities.

  • Mindset: Self-motivated, proactive, and adaptable with a passion for problem-solving and continuous learning.

  • Passion: Interest in sustainability, eco-friendly technology, and making a positive environmental impact.
